At Executive Hunter, we take your privacy seriously. This Privacy Policy explains what personal information we collect, how we use it, and what rights you have under applicable data protection laws — including the EU General Data Protection Regulation (GDPR) and the Hong Kong Personal Data (Privacy) Ordinance.

Executive Hunter ("we", "us", "our") is a software platform operated by Executive Hunter Limited, a company registered in Hong Kong:

We act as the data controller for the personal information collected through our website and provided directly to us. When our platform is used by recruitment agencies to manage candidate data, those agencies act as the data controllers for their candidates' information; we act as the data processor.

2. Information We Collect

Information you provide directly

  • Demo requests: full name, agency name, phone number, business email
  • Contact form: name, email address, message; phone number is optional
  • Account creation (where applicable): name, email, organization, billing details
  • Customer communications: messages you send us via email or support channels

Information collected automatically

  • IP address and approximate location
  • Browser type, operating system, and device information
  • Pages visited, time spent, and referring website
  • Cookies and similar technologies (see Section 9)

Information from third parties

We may receive limited information from payment processors (e.g. Paddle.com, our Merchant of Record) when you subscribe to a paid plan. We do not collect or store your full payment card details.

3. How We Use Your Information

We use your personal data for the following purposes:

  • To respond to inquiries, demo requests, and support tickets
  • To create and maintain your account, and to provide our services
  • To send service-related communications (account notifications, security alerts, billing)
  • To send marketing communications, where you have consented
  • To analyze website usage and improve our services (where you have consented to analytics cookies)
  • To detect, prevent, and address fraud or abuse
  • To comply with legal obligations

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area, we process your personal data under one of the following legal bases:

  • Consent — when you submit a form, accept cookies, or subscribe to communications
  • Contract — when processing is necessary to deliver a service you requested
  • Legitimate Interest — to operate, secure, and improve our website and services in a way that does not override your rights
  • Legal Obligation — when required by applicable law

5. Sharing Your Data

We do not sell your personal data. We share information only in the following limited circumstances:

  • Service providers who help us operate our website and services — for example, hosting (Hetzner Online GmbH), email delivery, and analytics. These providers are bound by confidentiality and data-processing agreements.
  • Payment processors (Paddle.com, acting as Merchant of Record) for subscription billing and tax handling.
  • Legal authorities when required by law, court order, or to protect our legal rights.
  • Successors in the event of a merger, acquisition, or sale of assets — subject to confidentiality.

6. International Data Transfers

Because we are headquartered in Hong Kong and our hosting infrastructure is located in the European Union (Germany), your personal data may be transferred and processed in jurisdictions outside your country of residence. When we transfer EEA personal data outside the EEA, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

7. Data Retention

We retain personal data only for as long as is necessary for the purposes described in this Policy, or as required by law:

  • Demo requests: 24 months from submission, unless you request earlier deletion
  • Contact-form messages: 12 months from submission
  • Account data: for the duration of your subscription, plus up to 12 months after termination for backup and legal-compliance purposes
  • Cookies: retention varies by category — see our cookie settings

8. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Erase your personal data ("right to be forgotten")
  • Restrict or object to certain processing activities
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent at any time, where processing is based on consent
  • Lodge a complaint with a supervisory authority — for EEA residents, this is your local data protection authority

9. Cookies

We use cookies and similar technologies to make our website work, to understand how it is used, and — where you consent — to deliver personalized content. You can manage your cookie preferences at any time using the Cookie Settings link in the footer of every page.

We classify cookies into three categories:

  • Strictly necessary — required for core functionality (session, security, form submission). Always active.
  • Analytics — help us understand how visitors use our site. Active only with your consent.
  • Marketing — used to deliver relevant content and measure campaign effectiveness. Active only with your consent.

Referral / affiliate tracking

When you arrive on our website through a link shared by one of our partners, we record the partner's referral code so that any subscription you later purchase can be correctly attributed to them. For the duration of your visit this code is held in a strictly necessary session cookie. If you consent to marketing cookies, we also store the referral code in a cookie named eh_ref for up to 60 days, so that a purchase made on a later visit is still attributed to the referring partner. This cookie contains only the referral code and no directly identifying information. If you decline marketing cookies, the 60-day cookie is not set and attribution is limited to your current visit. The legal basis is your consent for the persistent cookie, and our legitimate interest in operating the partner programme for the session-only handling.

10. Security

We implement reasonable technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (TLS/SSL), encrypted storage of sensitive credentials, restricted access controls, and regular security reviews. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

11. Children's Privacy

Our services are intended for professional use and are not directed at individuals under 16 years of age. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will revise the "Last updated" date at the top of this page and, where appropriate, notify you by email or through a prominent notice on our website.
